Barcode & Proximity Access Control Systems

The 24-7 gym access program can control the opening of door(s) After Proximity Card the member will be allowed entry only if he or she is in good standing. If entry is allowed, the member will be checked-in with date and time stamp and door will "buzz" open. There is no need to turn individual member cards ON or OFF, as 24/7 gym access control program will automatically deny entry for any members who are not paid up-to-date.

What is Access Control?

When combined with a barcode reader and Electronic Door Controller, program can provide access control for your facility entrance doors.

Install an electronically-controlled door lock on the outside entrance for 24-hour access.

Most electronically controlled locks require the same type of input to trigger; they all work by momentarily closing a circuit. Think of a doorbell where you press a button to trigger the doorbell chime.

How does 24/7 gym Access Control work with DOOR CONTROLLER is a small program that comes bundled with program. DOOR CONTROLLER  is basically the brains behind member check-ins -- it receives the card scan data, looks up the member record, records the visit and controls a door entrance.

Access Control with program works as follows:

· The member swipes a card or keytag through the reader.

· Door controller receives the card data from the reader and checks the member’s status.

· If the member is up-to-date, DOOR CONTROLLER sends a signal to the Door to open the door.

· The Door Controller closes a circuit to open the door latch.


Can I control who gets into the facility and when?

Yes. You can specify which members are allowed access in various ways. For example you might allow access for only certain membership types or only those members who pay an extra fee each month for after-hours access.

You can also determine the hours during which the entrance is active, for example you might allow access only between the hours of 5am-8am and then 8pm-11pm on weekdays but 24 hrs/day during the weekend.

Can I control access into special areas of my gym, like tanning?

Yes. For some examples:
· Control access into men's and women's locker rooms, limited by gender.
· Control access into a pool area or cardio area separate from the main facility.
· Control access into a tanning room for only those who have purchased monthly tanning.

How many entrances can I control?
We offer systems to control up to 8 independent entrances.

A proximity card is a plastic card (or key fob) that contains a proprietary integrated circuit. To read a proximity card the user simply places the card within 3-6 inches of the reader (a small plate) mounted to the wall. Proximity cards are also sometimes called "contactless" cards.

What type of lock or lock should I purchase?

You can use any time of lock that works for your physical layout, but the most common types are electric door strikes and magnetic locks. An electric door strike is installed in the frame of the door -- when power is applied the strike releases and the door can be pulled open. A Magnetic lock consists of a very strong electromagnet attached to the door frame and a steel plate mounted to the door -- when current is applied to the magnet the door is locked, and when the current is stopped the door can be pulled open. If your door

The only requirement is that the mechanism must be triggered with a dry contact (like a doorbell buzzer). The dry contact can be normally-opened (for most mechanical locks)
or normally-closed (for most magnetic locks).

Who will do my installation?

All of our products are straightforward to install and configure, but you will need some skills for installation and wiring. The Proximity Control System controls door access using proximity cards or key fobs. All cards scanned are date/time stamped and recorded in "Visits Journal" log file. Print reports to see busy/slack hours, number of visits and those denied entry.

How Does It Work?

The proximity reader used in our Control System sends a signal to the Electronic Door Controller. program determines the member's status and then sends a signal to the door controller. Members in good standing are admitted. You can specify hours of entry.

The software can control two entries per computer (additional computers require the optional Networking add-on) , and each entry can be independently enabled or disabled at pre-set times during the day or night.

Membership barcodes are automatically passed into 24-7 gym program , and product scans (UPC codes) automatically passed into Pro-Shop.


Is a handheld product (UPC) scanner required?

No. Pro-Shop is designed to work well using just the keyboard, if you want. Ten QuickButtons let you instantly ring up the most commonly sold items.

Can I use a cash drawer and receipt printer?

Yes. Pro-Shop interfaces with any cash drawer or receipt printer with serial (RS232) or parallel (LPT) interface. 24-7 program and Pro-Shop will even share the same cash drawer and receipt printer.

Can I use the cash drawer that I already have?

Yes, as long as it interfaces through a serial (RS232) or parallel (LPT).
Does Pro-Shop handle credit cards?

Can I run Pro-Shop and 24-7 access program at the same time?

Yes. The two programs are independent but linked closely together. To switch between Pro-Shop and 24/7 gym access program you only need to click on the Pro-Shop or 24-7 ACCESS button at the bottom of the screen. You can also switch between the programs with a single keystroke.

Can I use Pro-Shop for other businesses, other than gyms?

o Absolutely. Pro-Shop can work for any type of business that has only modest point-of-sale requirements. If retail is the core of your business, however, we recommend you purchase a more comprehensive software package.

·Does Pro-Shop export its data into QuickBooks?

· Credit Card (Merchant) Processing Explained

·Merchant Account Provider

There are many credit card companies that are willing to help you set up a merchant account - for a fee. In Industry terms, these companies are called merchant account providers or Independent Sales Organizations. Make sure you research these companies before you pay for their services. Brokers namely set you up with a bank; they don't play an integral part in the operation of your credit card processing and online transactions. They make money by either an upfront fee, an application fee, or a per transaction fee. Their main goal is to place you with a bank that is suitable for someone with your credit history and that is experienced with your type of transactions.

· Credit Card Processing Clearinghouse

When you have chosen a bank or a broker you will find that they usually "contract out" processing the credit card processing / transactions to a clearinghouse. When you submit a charge the Transaction Processing Clearinghouse is the organization that authorizes and validates the card (making sure the number matches the card and that sufficient funds are available).

· Gateway

The final piece to setting up a merchant account is the gateway that connects you to the transaction clearinghouse. There are three common gateways:

· Credit Card Card Swipe Machines

Until recently this is the machinery next to nearly every checkout register in the country. After the card is swiped, an authorization code displays, and is printed on a credit card transaction slip. The authorization comes from the clearinghouse that the store's bank contracts with, and it effectively assures valid payment to the merchant when the customer signs on the dotted line.

· Desktop Software

Instead of a card swipe terminal, desktop software can be used as the transaction gateway. The merchant can manually enter the credit card number and payment amount into the computer software or swipe the credit card through a magnetic stripe reader attached to the computer. The software transmits the transaction over the internet to the clearinghouse designated by the bank. In a few moments, the clearinghouse responds with an approval or denial. This software solution works better than the cardswipe machine, but may not work for large volume stores with multiple cashier stations. 24-7 access program is compatible with PC-Charge/Pro, which is

· Real-Time Web Gateways

There are several payment gateways to the transaction clearinghouse that can authorize and validate credit card payments directly. These gateways check the credit card status in real-time, a very complicated process if you were to do it on your own from step one. If you wish to use a real time gateway make sure it is compatible with the system you are going to use.

· Costs

The cost of setting up and maintaining a credit card merchant account depends on who you choose to provide your merchant account services and how many middlemen you go through. If you choose to use the MC shopping cart software , our organization will waive the set-up fee and the application fee for your merchant account.


· Merchant Account - An account setup by a bank which allows you to accept credit cards. Your merchant account will deposit collected funds into your business's checking account every 24 hours.

· Discount Rate - A percentage that is paid to the credit card company on each transaction. If a customer makes a credit card purchase worth $10.00 and your discount rate is 2.4%, you pay $0.24 for the $10 sale. A competitive discount rate is roughly 2.40%. Keep in mind that discount rates on the web are higher than that of brick and mortar stores. Make sure the rates that are quoted to you are for INTERNET sales.

· Monthly Processing Minimum - The monthly processing minimum is the MINIMUM monthly fee you must pay to the credit card company. A competitive monthly minimum is approx $30. Example: If you sell $1000 in goods over one month, your total Discount Rate (see explaination above) would be $23.90. This amount does not meet the $30 minimum so the credit card company will round your charge up to $30. If the discount rate and transaction fees exceed $30, then you have met the Monthly Processing Minimum and the fee does not apply.

· Real-Time Processing - This method of credit card charging authorizes and charges the customer's credit card at the time of purchase. This is the usual method for retail transactions.

· Offline Processing - This method of credit card charging allows you to capture your customers' credit card information for charging at a later time. This is the usual method for recurring monthly charges.

· Statement Fee - This charge is exactly as it sounds. The fee you pay for the bank to generate and mail you a statement outlining your transactions. Statement fees usually cost between $10.00-$15.00/month.

· Transaction Fee - The amount charged per transaction. Most companies charge around $0.30. If you make 50 sales per month... the total transaction fee would equal (0.30 x 50 = $15.00).

· ACH/EFT Processing in 24-7 acess program· The degree to which you can integrate ACH processing into 24/7 gym access program depends on your bank and what changes you are willing to make. The most seamless methods let you submit ACH/EFT transactions directly in the software. Different from credit cards, however, the money from ACH transactions does not get transferred to your account immediately. ACH transactions usually take from 2-5 days for the money to transfer or for the transaction to be rejected (usually for non-sufficient funds, or NSF).

· For monthly billing program will generate a list of all members that should be charged for a given billing date. The program will then submit the ACH batch (the list of specific bank transactions)n one step, recording the payments and updating records for all members whose charges were approved.

· All banks handle the back-end logistics of ACH transactions, after all this is how all money is moved between banks and between accounts. Many banks, however, do NOT handle the front-end logistics of receiving ACH batches from customers.

· Here are your options:
· Fully-Integrated Processing: The Direct Method
· This is by far the most efficient way to handle ACH in program is to sign up with a 3rd party ACH processor that offers full compatibility with the program. The ACH processor's primary function is to submit ACH transactions into the banking system on your behalf.

· the program submits ACH transactions directly to the processor through the internet. The processor will check the information that is sent for invalid data and give you confirmation that the information was received.

· You will receive an email from the processor within 2-4 days notifying you of any rejected transactions. You can then easily reverse the payments for those members in program... they will be denied entry until their membership is paid either in person or by another ACH transaction.

· Your bank may provide a website that allows you to upload ACH batches. The standard format for ACH batch files is called "NACHA". 24-7 GYM ACCESS PROGRAM will generate an industry-standard NACHA file that you can send to your bank. The program will also record all of the payments and update all of the member records in one step.

· Manual Submission: The low-tech method

· For those clubs who already have a standard countertop retail credit card machine and don't want to change, program provides some tools to make your life easier as well.

· When a member hands you his card at the time of purchase just indicate in program that he will be be paying by credit card. The software will then ask if the charge was approved. Swipe the card through your desktop terminal and run the charge as you normally would. Once the charge is approved (or declined) return to 24-7 gym access program and click "Approved" or "Declined".

· For monthly billing program will generate a list of all members that should be charged for a given billing date. The program will then display a list of credit card numbers, expiration dates and amounts to charge. You can use this list to manually run each charge through your credit card terminal. Once you have finished with the list 24-7 gym access program can record all of the approved charges and update those member records in one step.

· External Processing

· Some banks provide tools for you to setup recurring ACH transactions. With a recurring transaction you tell the bank how much to deduct from the member's account on a given day each month, when to start and when to stop. With program you can easily record all of the payments that will occur on a given billing date.

· One significant disadvantage of utilizing a recurring bank debit is that you need to maintain duplicate system -- you must make sure to keep the bank list of transactions synchronized with the membership list in 24-7 access program. If you have a lot of members this process can easily get out of control, so recommend the Direct or NACHA methods whenever possible.

The fully integrated video is viewed directly from within the EZFacility interface, and video is linked directly to access events, eliminating the need to search for specific video events.
